5.3 Theses, Dissertations, and Undergraduate Final Papers

The correct choice of document type determines the appropriate form in the FI-Admin system and the correct completion of bibliographic fields.

To identify the document type, check whether it contains information that characterizes or identifies it more precisely.

Does this document present any data that allows this classification?

  • Is the document the result of an academic final course work at undergraduate or graduate level (master’s, doctorate, specialization, or other)?

  • Does it include the name of the graduate program?

  • Does it include the advisor’s name?

  • Does it include the title/degree awarded to the student?

In the FI-Admin system, choose the document type: Thesis, Dissertation, and Monograph.

The following types of academic works are accepted:

  • Doctoral theses in the Health Sciences areas;

  • Master’s dissertations in Nursing or Public Health.

These works are evaluated by examining committees composed of specialists, undergoing a rigorous validation process, which ensures their credibility and scientific quality.

In addition, it is essential that the content of the work contributes relevant knowledge to the health field.

❌ The following should not be included in the LILACS Database:

Undergraduate, Medical Residency, and Specialization final course papers (Trabalhos de Conclusão de Curso – TCC), although they represent important records of the academic trajectory of health professionals, generally do not present original research or scientific discoveries. For the most part, they consist of the systematization and analysis of existing knowledge, with practical or reflective application.

For this reason, it is recommended that these works be stored and made available in repositories or in dedicated databases, when applicable. This practice ensures the preservation and accessibility of information in the institutional context, without compromising the selection criteria of the LILACS database, which prioritizes documents with relevant, in-depth, and original technical-scientific content.

Verification of Essential Metadata

For documents indexed in the LILACS database, the following fields are mandatory:

✅ Author (full name, without abbreviations)
✅ Title (as in the original document) – Follow spelling rules: use uppercase only at the beginning of the sentence, acronyms, and proper names
✅ Title translated into English (translated by the indexer if not included in the original document)
✅ Advisor’s name
✅ Institution where it was presented (university or research center where the work was defended)
✅ Academic degree (Doctorate, Master’s, Specialist, etc.)
✅ Publication date (full year)
✅ Keywords in all languages available in the document
✅ Abstract in all languages available in the document
✅ Link to full-text access in all available languages (repository or official site)

Tips:

  • Include your institution’s documentation.

  • Search by document title in the FI-Admin system, under the “All Records” tab, to avoid duplicating the document.

  • Institutional affiliation is not required because the institution where the author defended the work is adopted.

  • Co-advisor may be included in Thesis Notes, in the “Advisor” field; however, there will be no distinction between advisor and co-advisor, so always include the advisor first.

For filling out the fields, consult the training presentations with step-by-step guidance.
